Normalize the scope before the price
Contractor proposals often look comparable while covering different work. One may include permits, a new disconnect, line-set replacement, drain protection, thermostat, crane access, and commissioning; another may include only the equipment swap. Rewrite every quote into the same scope before comparing totals.
Ask each bidder to identify what is excluded. A clearly stated exclusion is easier to price than a vague allowance discovered after work begins.
- Equipment model numbers and certified efficiency ratings
- Load calculation and equipment-selection method
- Electrical, gas, venting, drains, refrigerant lines, and duct changes
- Permit, inspection, startup, balancing, and commissioning
- Labor warranty, manufacturer warranty, and registration responsibility
Treat sizing as a design decision
Replacing a failed unit with the same nominal size is not proof that the size is correct. The building may have changed, and the old system may have been oversized. Request a documented load calculation and ask how the selected equipment performs at local summer and winter design conditions.
For variable-speed equipment, review the full operating range. Minimum capacity matters during mild weather, while cold-climate heat-pump output matters at low outdoor temperature.
Compare lifetime cost carefully
Efficiency upgrades should be compared on incremental installed price. Model annual energy savings with your utility rate, then divide the price premium by the annual savings for a simple payback. Keep comfort, sound, humidity control, incentives, maintenance, and repair complexity visible as separate decision factors.
Do not assume the highest rating creates the lowest ownership cost. Duct leakage, poor airflow, incorrect charge, and bad controls can overwhelm the difference between two labels.
Choose the best-documented proposal
A serious proposal makes the design and verification plan easy to understand. Favor the bidder who can explain assumptions, measure existing conditions, document startup results, and put commitments in writing. Price still matters, but documentation reduces the chance that the lowest quote becomes the most expensive project.
